Waive Cancel reservation fee

Hello, we just have a call with our client who made the last minute reservation to confirm some detail of their trip and as a result we both party agree with an cancellation of reservation, but where can we find to place to waive the Cancel reservation fee? Please help to advice.

Guest can submit cancel request online, but if its the arrival date, then either guest or you must phone or message BdC support to cancel it.
