Managing first guest reservations

As soon as you set your property to open/bookable in the extranet, potential guests can start making reservations with you. To keep your occupancy up and plan ahead effectively, it’s important to stay on top of your bookings.

Receiving a reservation

To be able to receive bookings, it’s key to load your availability in our system so potential guests can see when they can stay at your property. You can increase your visibility in search results and attract more bookers by loading rates and rooms availability well in advance and making more rooms or units you make available. The availability of booked rooms or units will then be automatically updated in our system and will no longer be visible on our platform.

When a guest books your property, their reservation is confirmed by us via email and you will receive an email and notification on the Pulse app. 

Most reservations are booked instantly, and must be fulfilled. Depending on your property type, you may be eligible to make use of the Request to Book feature


Keeping track of reservations

To effectively plan for the guests arrival and their reservation requests, it’s possible to see an overview of all your bookings under the Reservations tab in the extranet, or on the Pulse app, Bookings tab.

Depending on your property type, if you manage multiple properties, you will be able to see an overview of the upcoming reservations for each property in the Group extranet page. There you can see a list of all your properties, as well as the statuses, arrival and departure times and incoming communication for each property from both guests and Booking.com. 

You can keep track of bookings by setting up alerts in the extranet or Pulse. Here’s how you can manage your notification settings: 

  1. Log in to the extranet
  2. Go to the User account icon in the right upper corner
  3. Click on Notification settings 
  4. Select Yes for Arrival notifications to receive alerts for your reservations
  5. Click Save

You can always change your notification settings by selecting Yes/No for any of the notification types.
