How do I set up room occupancy, prices and rules regarding children at my property?

To comply with European consumer law, we’re asking all our partners to update their Child policies to the latest version by 1 September 2019.

If you haven’t already updated to the latest policy, you can do this by setting up the child occupancy per room (as described below).

Note: If you’d like to update your Child policies to the latest version without changing any of your price or occupancy settings, simply review your settings and re-save.

 

Child occupancy

To set up child occupancy per room, you need to add it to the ‘Children & extra beds’ section under ‘Policies’ – this is separate to the standard (adult) occupancy found in ‘Room details’ under the ‘Property’ tab. The maximum occupancy per room is therefore the total of both occupancies combined (adult + child).

For example, imagine your Double Room is set up in the ‘Room details’ section with an occupancy of two adults. If you update the same room under the ‘Children & extra beds’ policy to allow two children in that room, the maximum occupancy for the room will be four (two adults + two children).

Note: any occupancy supplements you charge are not currently included in the total rate displayed during the booking process. From 1 September 2019 onwards, this will change for any partners who have set up their child occupancy per room (and have additional rates for children). 

For now, guests can see this information under ‘House rules’ on your property page (and on their booking confirmation). 

Pricing and policies regarding children

The ‘Children’ section of your extranet’s ‘Policies’ page allows you to show whether your property accepts children up to a certain age or not at all.

If you do allow children at your property, you can use the ‘Occupancy and supplement pricing’ section to show guests:

  • the maximum age of children allowed to stay at your property
  • the number of children that can stay in beds already present in your rooms
  • any fixed or variable supplements based on different age ranges

To update or make changes to policies related to children staying at your property:

  1. Go to the ‘Property’ tab and click on ‘Policies’.
  2. In the ‘Children & extra beds’ section*, click on ‘Edit’ under ‘Children’ or ‘Occupancy and supplement pricing’ in order to adjust the following:
    • the maximum age of children allowed to stay at your property
    • the number of children that can stay in beds already present in your rooms
    • any fixed or variable supplements based on different age ranges
    • the number of extra beds that can be added for children
    • the maximum age of children that can be accommodated in cots/cribs and extra beds
    • any fixed or variable supplements for cots/cribs and extra beds
  3. Select ‘Preview’ to review your changes, then click on ‘Save’ when you’re done.

*If you have not previously set up child occupancy per room, you’ll automatically see ‘Child occupancy’ and ‘Child supplement pricing’ sections (amongst others), where you can set up the options listed in point 2 above.
