How do I know what will appear on my invoice?
Questions about Payment and Invoices can be confusing, especially when you’re new to the business and to Booking.com’s platform. In my 2 years at Booking.com, invoicing and reconciliations has been a common discussion with my partners. It can get complicated with different types of guest behaviors, so let’s break it down.
Before diving in, keep in mind that the invoice is generated on the 5th of every month. The total amount reflects all the reservations received in the last month by the check-out date. For example, all reservations with a check-out date May 1, 2021 - May 31, 2021 will be calculated, finalized, and billed on June 5, 2021. Therefore, you need to review and update all reservations in the month of May before June 5. We only want to bill you for revenue collected, and in order to do so, we’ll need to be informed of any changes to the reservations.
Key Tip #1: It’s best to make any adjustment and update the status of each booking ASAP rather than wait until the end of the month. My partners who have the most ease with this process update their reservations after each check-in date.
This can be a lot of work for one individual, so what a handful of partners have done is delegate the task to their front desk managers or staff. If you don’t have extra hands, another great way to make changes is through the Pulse App or what I like to call, the Grab and Go Extranet.
The first question that I usually receive from a partner is: Before the invoice is generated, where can you find the list of reservations and the breakdown of the charges?
There are 2 locations where you can check the breakdown of charges:
The invoice calculates reservations by the check-out date for each month. Here, you’ll be able to find the list of all the reservations for the month with a breakdown of the following items:
- Guest Name
- Check-In Date
- Check-Out Date
- Room Type
- Booking Date
- Total Price
- Commission Charge
- Booking Number
Key Tip #2: After selecting the check-out dates and pulling the list of reservations, “Download” the information on an excel sheet on the top right-hand corner of the page. This is easier to see an overview and full breakdown of prices.
If you notice any discrepancies, make sure you click through to each reservation and make the appropriate corrections asap and prior to the 5th of each month!
This is located under the Finance tab. Starting on the first of every month, the Reservation Statement for the upcoming invoice is visible on this page. This is my favorite place to check with partners as it’s clear and concise.
You’ll also be able to click-through to each Reservation Details page to make any adjustments right away.
These are the two locations to check the accuracy of your invoice prior to it being generated.
