How do I set up minimum and maximum advance reservations?

We understand how important flexibility is. When you’re not in control of the timing, receiving bookings can sometimes be inconvenient. To give yourself more flexibility and avoid unwanted bookings, you can set minimum and maximum advance reservation times.

A minimum advance reservation time establishes the minimum amount of time before check-in that a guest can book a room or unit. A maximum advance reservation time establishes a maximum amount of time before check-in that a guest can book a room or unit.  


How do advanced reservations restrictions work?

You can set minimum and/or maximum advance reservations for specific rooms or properties on specific dates. Our system counts backwards from midnight on the check-in date, which means you can set restrictions both in terms of days (D) as well as hours (H) before check-in. For example:

  • If you want guests to book at least one day before check-in, the minimum advance reservation time is one day. You would then enter 1D in our system.
  • If you want to allow same-day bookings until 6 pm, the minimum advance reservation time is six hours (counting backwards from midnight). You would then enter 6H in our system.
  • If you want guests to book at least three days and five hours in advance, the minimum advance reservation time is three days. You would enter 3D5H in our system.
  • If you don’t want guests to book more than ten days in advance, the maximum advance reservation time is ten days. You would then enter 10D in our system.

Once you set your reservations restrictions, your property will only appear in search results when guests’ search dates match these restrictions. In the following two sections we describe the two possible ways to set these restrictions, depending on which calendar view you use on the Extranet.

Note: When you’re using your calendar in “Monthly view,” you can only set up a minimum advance reservation. To set up a maximum advance reservation, you’ll have to switch to “List view.”

 


How to set up minimum and maximum advanced reservations in “List view”

  1. Log in to the Extranet.
  2. Click Calendar & Pricing or Rates & Availability, then Calendar.
  3. Click the drop-down menu on the right of the page and select “List view.”
  4. Click the Restrictions box on the left side of the page. This will show you the menu of available restrictions.
  5. Scroll down until you see the Min. advance reservation and Max. advance reservation rows. Each date on the calendar corresponds to a cell in each of these rows.
  6. Enter a day (D) and/or hour (H) value for the dates that you’d like to set restrictions for.

To set restrictions for multiple days at once:

  1. Make sure you’re on “List view” of the calendar.
  2. Click a cell in the Min. advance reservation or Max. advance reservation rows, then drag the blue rectangle across all the dates you want to apply the restriction to.
  3. A pop-up box will appear. Enter the number of days (D) and/or hours (H), then click Save.

To set restrictions for more than a month:

  1. Make sure you’re on “List view” of the calendar.
  2. Click the Bulk edit link under “Rooms to Sell.”
  3. A panel will appear on the right side of your screen. Set the time period that you want to set restrictions for. 
  4. Scroll down and click Restrictions.
  5. First select a rate plan from the drop-down menu, then select a restriction.
  6. Enter the number of days (D) and/or hours (H), then click Save changes.

How to set up minimum advanced reservations in Monthly view

  1. Log in to the Extranet.
  2. Click Calendar & Pricing or Rates & Availability, then Calendar.
  3. Click on the drop-down menu on the right side of the page and select “Monthly view.”
  4. If you have more than one property, select the one you want to set restrictions for by clicking the drop-down menu on the left side of the page, under the word “Calendar.”
  5. Choose the dates that you want to set restrictions for. You can do this either by selecting them in the calendar or entering them in the menu on the right side of the page.
  6. Scroll down that same menu and click Restrictions.
  7. In the pop-up that appears, click Minimum advanced reservation and select your preferred time from the list.
  8. Click Save.

How to set up minimum and maximum advanced reservations via “Restrictions”

  1. Log in to the Extranet.
  2. Click Calendar & Pricing or Rates & Availability, then on Set restrictions.
  3. Enter the dates that you want to set restrictions for in the menu.
  4. Scroll down and select the room types and rate plans that you want to set restrictions for.
  5. Scroll to the bottom of the page and select the restriction type from the drop-down menu. Click Add more if you’d like to apply more than one restriction (i.e. both minimum and maximum advanced reservations).
  6. Enter the number of days (D) and/or hours (H), then click Save changes.
