Like others have suggested and yourself is opting to use all possible social media to create awareness but with personal and successful experience I would strongly suggest to "Indulge Personally" with potential clients be it be corporates, vendors, event management companies, key community people, socialites by inviting them over to your hotel for social gathering or we call PR evening this is wonderful opportunity for them to experience, feel and acknowledge first sight and hand your product, services etc and this should be quarterly affair so people stay connected with you and evening to evening you will observe your network is been extended and then do not forget to invite local media & press for these evening. Human tendency, people talk much louder when free dinners and if these dinners are with key associates they appreciate it even more .

Yes, property have the flexibility extended by most OTA's to define their own policies but it is wise enough for the Management to not be to harsh in defining their policies or posing many restrictions else this will discourage your potential customer eventually.

We believe that the best opportunity we get to share or exchange any such valuable information is mostly at the time of "Check-In" and sometimes during "Check-Out" - both these occasions should be very well attended with much attention as they will always have most leading impact than giving any goody bag, sweet candy, business cards.

We started the practice to not Check In any of guest over the reception counter and instead we guide them to our fairly small lobby area to make them feel relaxed while enjoying their welcome drink and view of pool and have conversation for 5-10 minutes and during this course they get Checked-In as well, this opportunity we take in exchanging important information and links to stay connected be it social media, whatsapp, wechat, digital business cards etc

Most guests do not prefer to fill out their contact details these days due to several reasons and many of them will end up giving you incorrect email address, isn't it. Stay on their mind, you will stay on their list

This is common problem and frequent problem too at Booking.com comparing to other online channels but saying Booking.com extranet is most user friendly and very easy to update and their response rate is relatively very high and satisfying (this is based on our property experience)

As hoteliers we need to remain proactive as soon as we get the booking confirmation, since the booking is from booking.com which means hotel is liable to collect the payment so you must have provision to charge the guest upon receiving the booking and if you are failed to charge the guest due to wrong or insufficient card details or insufficient funds, must update on extranet of booking.com in this case. This will help you to maximize your room availability for the right guest and not for one who may just block the rooms to find the cheapest deals

Also,simultaneously you must update the status on extranet regarding guest arrival, no show, payment this will again help you to avoid such problems

We start preparing our High/Peak Season observing the previous High/Peak season as it does help in many important ways:

1. High/Peak Season is great opportunity to meet with many potential guests usually or typically who take vacation during this time, which means to us that they could most likely come back again or at least will lead us to their friends by displaying their happiness staying with us, good reference point - thanks to social media. Trick - Keep them happy first before thinking about new guests and their comfort, one of the team members must able to build great relationship and able to find out their future vacation plans

2. Following the trend helps us to observe the guests behavior in terms of what kind of tourists, what budget is preferred, which room types are in demand , what new can be added to better the profitability

3. List all the pros and cons and setup your plan for the following season

4. Have your detailed checklist ready for each department, because hotel and guest experience is not limited to maintenance work or service from Front Desk Staff, consider "TEAM" so pay attention to each department and members in achieving together "TEAM IMPACT" which will lead to satisfied and happy guests

5. Review the rates carefully and do not forget to set comparatives with your immediate competitors and second line of competitors, while doing this ensure that you know what quality of rooms and facilities are offered by your competitors because your rates must be "Worth" your product you are offering

6. Communicate with guests who have stayed in past by sending them greetings and wishes for the coming holiday season and take the opportunity to ask if they have any plans to be back or maybe any of their friends - Stay connected,that is why you gather data base

7. Keep your "TEAM" highly motivated and prepared

8. Keep yourself "UPDATED" of your Market, as well of market of your potential guests

Hi, if you haven't charged the guest yet on the 1st card details as provided by the guest then do not worry about this you need to update the card details which finally guest would like you to charge in your system.

Also you can mark the 1st card as invalid and request the guest to update the details for the new card, this way it will get updated automatically

Booking.com never ask you card details you have used for the payment it is to your descreet and your reference only, but its always good to update the payment status on extranet upon recieving the payment or charging any guest
